Project Assistant

Main mandate

The Project Assistant plays a key role in managing and coordinating project activities by providing essential administrative and operational support to the project team. Under the supervision of the Superintendent, the Assistant helps ensure the overall effectiveness and success of projects.

Your challenges

Administrative management:
  • Coordinate meetings, including preparation of agendas and minutes.
  • Manage phone calls, messages and emails related to the project.
  Project documentation:
  • Organize, file and archive project documents in a systematic manner.
  • Keep documentation up to date and accessible for the project team.
    Internal and external communication:
  • Facilitate communication between project team members.
  • Serve as the primary point of contact for external stakeholders.
  Tracking of Deadlines:
  • Assist in managing deadlines by ensuring that tasks are completed on time.
  • Assist in identifying and resolving issues that could result in delays.
  Logistics Coordination:
  • Arrange travel, accommodation and other logistical arrangements for project team members.
  • Coordinate the receipt and dispatch of materials and equipment.
  • Coordinate scheduling in Nomadis.
  Supply Management:
  • Monitor and manage the needs for office supplies and equipment for the project.
  • Place supply orders in accordance with established procedures.
  Support for Reporting:
  • Assist in the collection and compilation of data required for project reporting.
  • Participate in the preparation of presentations and reports.
  General Administrative Tasks:
  • Perform general administrative tasks such as agenda management, invoice management, time sheet compilation, daily report, monthly summary, etc.
  • Provide administrative support to the project team as required.
  • Follow up on Cognibox and other training as required.
  • Document formatting and reporting according to project-specific standards.

Qualifications

  • DEP / AEC / DEC in administration or equivalent experience.
  • Valid driver's licence.
  Technical skills
  • Excellent knowledge of the Office suite;
  • Knowledge of Cognibox;
  • Knowledge of Nomadis;
  Interpersonal skills
  • Teamwork and collaboration;
  • Ability to work effectively under pressure and meet strict deadlines;
  • Ability to adapt to changes;
  • Empathy;

Working conditions

  • Position type: Full-time permanent
  • Work Location: Construction site – Fermont
  • Schedule: Fly in / Fly out – rotation to be discussed
